First Presbyterian Church of Lancaster, Pennsylvania, invites applications for the position of Church Secretary. This role offers a meaningful opportunity to support congregants and staff to create a fruitful environment for worship through excellent administrative care.

The Church Secretary will provide support to pastoral staff and various committees as well as day-to-day administrative support. This includes financial data entry, coordinating the lead pastor’s calendar, and receiving visitors. The ideal candidate will demonstrate strong communication, a deep and mature Christian faith, and the ability to engage with congregants across generations. This is a full-time position, requiring 37.5 hours per week, including occasional evening and weekend work. This position is open to non-FPC church members.

Purpose: Maintains Lead Pastor, Associate Pastor and church calendar. Provides administrative support to Pastoral staff, including managing church correspondence, composition of letters and emails to congregants and first-time visitors. Responsible for accounts receivable and payable, recording financial transactions, maintaining church records, running reports.

Reports to: Director of Administration         Supervises: None

Essential Job Functions:
  • Maintains Pastors’ and church calendars, including planning and scheduling meetings, follow-up with daily and weekly calendar of church events and Pastoral activities.
  • Accounts receivable – receives, records and reports on financial transactions using various accounting and banking systems, this includes endowments, memorials, mission
  • Accounts payable – enters invoices into accounting and banking systems for payments, ensuring correct approval and coding.
  • Maintains church social media and website
  • Supports congregation in use and adoption of congregant management
  • Answers the phone and opens the mail, distributes appropriately, first point of contact for office visitors.
  • Maintains church historical information, including minutes of Prepares and accurately distributes church financial reports, annual report and statements.

Interpersonal Relationships: Frequent interaction with the Pastors, staff, and church volunteer leaders to procure and share information and coordinate projects. Regular contact with church members and vendors as needed to accomplish work. Incumbent will have access to personal and confidential information and must treat all information with discretion.

Work Environment and Physical Requirements: Property in the city of Lancaster; buildings 100+ years old; air-conditioned offices. Incumbent is required to obtain state and federal clearances. Frequent use of stairs; sits at desk, stands with occasional bending, crouching, stooping, twisting, reaching and grasping. Light lifting (up to 15 lbs.). Repetitive motion of hands and fingers for keyboarding. Visual acuity to read correspondence and computer screens. Auditory acuity for telephone communications. Occasional travel for meetings and training.

Work Schedule: Full-time, from 37.5 to 40 hours per week, on-site Monday through Friday with occasional evenings and weekend work. Only available to non-church Members.
